The Program / Department / Team
Mercy Corps’ Inclusive Security and Resilient Youth Project – ISRY,' is a community-based development program supporting at-risk youth in Jordan between the ages of 16 to 30. ISRY will adopt a positive youth development approach to psychosocial support interventions to promote learning; increase stability through co-existence and inclusive security and build the psychosocial resilience of youth and their families. Mercy Corps will create connections between youth and Public Security actors through engagement in Nature-based activities and community-based activities. In close collaboration with the Ministry of Youth and Ministry of Social Development, the program will identify three local
community-action hubs- CAHs in the north, center, and south of Jordan - to establish Community Action Hubs that provide youth with a safe space to improve social stability and ultimately make youth and their communities more resilient. Additionally, the program will seek to strengthen the CAHs’ institutional capacities to sustain long-term impact. The project will place additional focus on the national level to strengthen the role of women and youth representation in the Youth Peace and Security - YPS 2250 - coalition in Jordan, through close collaboration with the Ministry of Youth and
other stakeholders.
The Position
The Senior Project Admin Officer is responsible for supporting “Inclusive Security and Resilient Youth Project – ISRY,'' Project’s clerical and logistical needs and implementation of project's procurement plan. S/he will report to the Senior Project Manager and work closely with staff dedicated to the ISRY project and other departments – such as, Finance, M&E, Jordan procurement, and logistics and admin department.

Essential Responsibilities
● Assist in all operations related to the project implementation with special focus on the development and implementation of the project’s procurement plan and expenditure reporting.
● Assist the Senior Project Manager in forecasting project activities by coordinating with all units monthly.
● Create a monthly tracking sheet for all payments and transactions.

● In coordination with the Officers, Area Coordinator, and other lead teams, raise PRs and follow up with MC procurement department on contracts, schedule delivery of goods and services and track payment requests.
● Assist in keeping MC and CBOs asset lists complete and up to date.
● Monitor the status of Mercy Corps assets biweekly and report any incidents to the admin team.
● Contribute to monitoring and evaluation efforts in accordance with the plan, including monitoring, data collection, analysis, report writing.
● Archiving the project documents and official correspondence.
● Provide support for all units in preparing the logistics of the training/sessions.
● In coordination with the administrative department arrange for hotel bookings for the staff and consultants/ service providers contracts and follow up on their accommodations.
● Follow-up on all events and training logistical needs with different departments.
● Arrange staff and consultants’ transportation needs and organize the vehicle bookings for field trips with the logistics department.
● Make sure all the printings and visibility materials are matching MC communication standards.
● Provide support in translating documents and reports.
● Make sure that all the logistics (Transportation, equipment, Computer, IT equipment, Stationery.... etc.) requirements are fulfilled for all the project team.
● Act as focal point for the HR department to fulfill all the team and consultants’ requirements and procedures (Timesheet, Health insurance ... etc.)
● Conduct himself/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission.
● Other duties as assigned.

COMMUNITY ACCOUNTABILITY & REPORTING MECHANISM FOCAL POINT:
● Ensure the program has at least 3 context-appropriate feedback channels.
● Ensure the program is accurately reflected in the CARM SOP
● Ensure any gaps identified are reported to the CARM Coordinator, CARM Officer, and PM
● Response to Grade 1-3 feedback received from the CARM Officer and coordinate with appropriate staff within your program, to retrieve the necessary information regarding the feedback, and when applicable contact the community members then provide the CARM team with responses.
● Be a key knowledge holder for CARM within the program and provide a weekly update on project activities.
● Support CARM in rolling out the sensitization activities with the community.
● Support CARM close-out at end of the program.
● Ensure CARM procedures are visible, and communities are adequately informed of how CARM operates.
● Write and regularly update program CARM FAQs
● Ensure CARM integration in all communication materials.

Supervisory Responsibility
None.
Accountability
Reports Directly To: Senior Project Manager
Works Directly With Project Coordinators and officers, Finance Team, Operations Team, Partner Organizations, and Sub-grantees.

Minimum Qualification & Transferable Skills
● BA/S or equivalent in social work, business administration or related field.
● Minimum 1 year of relevant field in an international environment.
● Experience in projects administration is required.
● Demonstrated experience and ability to represent the organization and negotiate and defend Mercy Corps’ interests with a diverse range of international and local organizations and other groups professionally and appropriately.
● Effective verbal and written communication, multi-tasking, organizational, and prioritization skills are necessary.
● Demonstrated attention to detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members is required.
● Experience working in complex environments.
● Experience with emergency response programs and staff training and mentoring is preferred.
● Native Arabic speaker with fluency in written and spoken English.

Living Conditions / Environmental Conditions
The position is based in Amman, Jordan and it may require around 10% travel to the field to support project activities implementation.
