As a Customer Service Administrator, you’ll be the voice of KONE, providing critical administrative support in specialized domains such as Maintenance Operations, Sales Support, Public Tender Preparation, Third Party Inspection, and Reporting. Your role will empower our salespersons and supervisors to maximize their time with customers in the field while ensuring seamless operations behind the scenes. The position will be based in Casablanca, Morocco.
In this dynamic position, you’ll directly support customers by addressing complex queries escalated from Customer Service Agents or other departments, ensuring responsiveness while upholding our high standards for quality and SLA compliance. Collaborating closely with salespersons, supervisors, field technicians, the KONE Customer Service Organization, and KONE Shared Services, you’ll play a pivotal role in driving customer satisfaction and operational excellence. What you will do:
Service Sales Support
- Prepare and distribute customer correspondence, including letters and updates to maintenance contracts.
- Process maintenance contract terminations, coordinating with the Billing Administrator for invoice cancellations or credit note issuance.
- Assist in drafting new maintenance contracts for NEB, competitive bids, or renegotiations.
- Support VB Sales activities by preparing documentation, performing quality checks, and assembling internal handover packs.
- Conduct data validation and quality audits for new contracts received from the KONE Shared Service Center.
New Building Sales Support
- Assist in preparing tenders and finalizing orders for submission to order administration.
- Manage the preparation and archiving of customer documentation and correspondence.
- Conduct customer credit checks during tendering and ordering processes.
- Own escalated customer inquiries, collaborating with sales teams and other services to ensure prompt responses.
- Support the maintenance and updating of customer data.
Maintenance Operations Support
- Provide general administrative support, including managing safety and site access documentation for site personnel, and ensuring data is delivered to KBS for input.
- Input and update fitter scheduling plans (on-duty and backup assignments) in Konect, coordinating maintenance plan changes in SAP.
- Manage updates to workcenter data.
- Assist field supervisors with specific tasks as needed.
- Support the planning and customer communication for repair and maintenance visits.
Specialized Administration and Support Tasks:
- Analyze inspection requirements and schedule individual inspections.
- Assist sales teams in creating proposals for public tenders.
- Verify and input customer data into customer portals (primarily managed by KONE SSC).
- Generate reports for Key Accounts.
Are you the one?
- Education: Higher vocational diploma in technical or commercial sciences.
- Office Tools Skills: Proficiency in Microsoft Office (e.g., Word, Excel, PowerPoint); advanced skills are a plus.
- Communication: Good spoken and written local language skills, with experience in office and customer communication.
- Financial & Contract Knowledge: Basic understanding of contracts and finances; deeper knowledge is preferred.
- Technical Skills (Optional): Ability to understand basic technical concepts is a bonus.
- SAP/SFDC Experience (Optional): Familiarity with SAP or Salesforce is an advantage.
- Relevant Experience (Optional): Prior experience in a similar role is helpful but not required.
