Position Information Position Type Professional Staff Faculty Track Position Title Degree Audit Specialist Employment Status Full Time Months 12 Campus Both ME Campuses Description The Degree Audit Specialist is responsible for managing and coding degree requirements within UNE’s degree audit system, DegreeWorks, ensuring accurate tracking of degree progress for students. Key responsibilities include reviewing and coding academic program requirements, testing and maintaining the degree audit system for accuracy, auditing students’ academic progress for graduation eligibility, responding to degree audit inquiries, advising on degree requirements, and assisting with processing degree exceptions and commencement verification.

Flexible Work



This role will primarily be based on the Biddeford Campus, though some travel between the Biddeford and Portland campuses may be required. After an initial 6-month review and training period, you may have the opportunity to work in a hybrid flexible work arrangement, though if granted, you must be able to attend meetings and regularly scheduled days on the Portland or Biddeford campus. Some travel between campuses may be required.
Work Environment: The University Registrar’s Office is a traditional office environment. It is busy, sometimes hectic, and customer service-related, involving frequent interruptions. Occasional remote evening hours are required.

Assist with reviewing the curriculum and ensuring that the requirements for academic programs are accurate and promptly coded (scribed) in the degree audit system (DegreeWorks). Test and maintain the degree audit system, reviewing for accuracy to ensure the reliability and integrity of the data. Audit the academic progress of students submitting Applications for Graduation by reviewing the students’ intended degrees, majors, minors, and specializations to identify and notify advisors and students of potential problems and deviations from requirements. Responds to questions about degree audits from faculty advisors and staff and corrects degree audits as necessary. Counsel professional and faculty advisors about undergraduate/graduate degree requirements, academic policies, and procedures. Assist with processing approved degree requirement exceptions for course substitutions and overrides in the degree audit system. Assist the Assistant Registrar—Degree Audit and Graduation with commencement processes to verify that all degree candidates have met degree requirements.
Qualifications
Bachelor’s degree plus a minimum of 2 years of experience, or equivalent combination of education and experience, in a University Registrar’s Office Preferred experience with DegreeWorks and Ellucian Banner or other student information systems (e.g., Ellucian Colleague, Jenzabar, PeopleSoft, Workday). Proficiency in Microsoft Office Suite, particularly Excel. Comfortable with the basic principles of simple computer languages or programming Strong logical and analytical problem-solving skills; good critical thinking skills; strong attention to detail and ability to coordinate multiple tasks simultaneously in a high-pressure environment. Strong interpersonal and communication skills with the ability to work effectively with various individuals and constituencies in a diverse community. Ability to work independently with minimal supervision, manage multiple tasks simultaneously and maintain productivity despite interruptions. Ability to collect, verify, and report data; ability to make procedural decisions or judgments on sensitive, confidential issues while complying with FERPA . Experience with report writing software such as Access or COGNOS and the ability to collect, verify, and report data. Knowledge of customer service standards and procedures, student records principles, policies, and computerized student information systems. Ability to maintain confidentiality of student academic records.
