Public Relation Officer (PRO)

Reports to: Sr. HR & Admin Manager

JOB PURPOSE:

Ensure that all Government related documentation is coordinated through the various Ministries and undertake all the activities for official submission / collection of application approval and ensure timely processing of various legal documents. 


KEY ACCOUNTABILITIES

 Applications and Licenses



  • Submit and ensure the processing of all types of applications and paperwork to the local government bodies, including but not limited to visit visas, employment or residence visas, car registrations, labour permits, terminations, etc.

  • Prepare and apply for all Licences official approvals and ensure permits such as trade & industrial license, waste management, chamber of commerce, environmental & production license are maintained properly

  • Ensure that all emirates ID are applied for and renewed to coordinate with visa applications to avoid penalties


 Governmental Relationship



  • Maintain good relationships with Governmental institutions in order to ensure problems are resolved

  • Represent the company in the governmental bodies and tackle all the uprising issues


 Import / Export & Shipments



  • Process import/export documentation for shipments and dispatch requirements to comply with export & import local regulations

  • Coordinate with Delivery department to apply for the certificates of origin so the shipments are exempted of custom fees

  • Apply for the duty exemption for all incoming federal shipments on timely manner to avoid delay

  • Apply for all the attestations required for shipments and other documents from concerned embassy & Ministry of Foreign Affairs (MFA)


 Policies and Procedures / HSE



  • Comply with operational procedures and instructions when performing all job tasks and activities

  • Comply with relevant safety, quality and environmental control procedures and instructions

  • Keep areas clean and well organized to prevent incidents and accidents


SPAN OF Communication



  • Internal: HR & Administration Manager, Delivery Department, Line Managers and employees

  • External: Governmental Institutions, Shipping Companies


Job relevant information (BOUNDARIES & DECISION-MAKING AUTHORITY)



  • Jobholder is responsible for collecting proper documents regarding visas, deliveries, shipments and other legal documents and their timely submission to the proper governmental entities

Skills

Required Qualifications:



  • Diploma in Business, Admin or Public Relations


 Preferred Experience:



  • 2 to 3 years Administration / PRO related experience


Job-Specific Skills:



  • Knowledge of Ministry procedures

  • Thorough knowledge of local law and regulations

  • Knowledge of export / import shipping local rules and regulations

  • English & Arabic Speaking, reading and writing
