Role Overview
The Sales Assistant plays a critical role in supporting the Sales team by managing the post-request-for-quote (RFQ) process. This role is responsible for reformatting and branding manufacturer quotes, ensuring accurate pricing and terms, coordinating internal approvals, distributing quotes to customers, and maintaining follow-up communication until a response is received. The position is designed to reduce bandwidth pressure on Sales Account Managers while improving speed, consistency, and documentation across the sales workflow.
This is a six-month engagement with growth potential into a Sales Account Manager or Project Manager role based on performance and interest.
Key ResponsibilitiesQuote Management & Preparation
Receive raw manufacturer quotes from Sales Account Managers and reformat them into professional, customer-facing documents.
Apply company branding, logos, standardized pricing, and terms and conditions to all quotes.
Ensure accuracy, consistency, and completeness across all reformatted quote documents.
Coordinate internal review and approval with Sales Account Managers prior to customer distribution.
Perform light CRM activity, including entering customer information, updating contact details, adding notes, and attaching relevant documents.
Customer Communication & Follow-Up
Distribute finalized, approved quotes to prospective customers via email.
Maintain consistent and professional follow-up communication with prospects who have not responded to initial quote submissions.
Log all follow-up activity, customer responses, and relevant details within the CRM system.
Hand off customers with definitive responses, both positive and negative, back to the assigned Sales Account Manager for next steps.
Sales Support & Coordination
Support Sales Account Managers by reducing their follow-up workload through persistent and organized customer outreach.
Ensure all customer communication is accurately documented in the CRM for full team visibility.
Maintain availability and clear communication with the Sales team during working hours.
QualificationsExperience
Recent high school graduate or equivalent; college experience is a plus but not required.
Preferred experience in a call center, customer service, inside sales, or junior project management role.
Prior experience with CRM systems is preferred but not required; training will be provided.
Skills
Exceptional attention to detail, critical for accurate quote formatting and data entry.
Strong written communication skills, with the ability to communicate clearly and professionally via email.
Persistence and comfort with conducting multiple follow-ups with the same prospect.
