Roles & Responsibilities

Division Assistant


Within the L'Oral Dermatological Beauty division, you will be responsible for the central coordination of the General Manager's activities and ensure the smooth administrative flow of the division. You will play a facilitating role by combining rigorous management of executive support with operational support for the commercial back office, thus allowing the teams to focus on their business objectives.

A. Management of the General Manager's Organization

Optimized calendar management: Scheduling appointments, managing priorities and anticipating key opportunities in the annual calendar.

Coordination of governance bodies: Logistical organization of steering committees, and drafting of minutes.

Mobility logistics: Complete management of business trips (reservations, visas) and processing of expense reports in compliance with Group policies.

Information flow management: Filtering and routing of calls, mail management and reception of strategic contacts.

B. Back Office Support & Commercial Performance

Monitoring the sales cycle: Compilation of performance indicators (Sell-in/Sell-out) to assist in the preparation of the division's dashboards.

Sales Force Interface: Administrative support for sales representatives (sending documents, managing promotional materials and samples).

Event coordination: Operational organization of medical conference cycles, product launches and sales seminars.

Database maintenance: Regular updating of the customer file (pharmacies, key accounts) in CRM tools.

C. Administrative Management & Budget

Financial monitoring: Creation of purchase requests (POs) in SAP, monitoring of validation processes and interface with accounts payable for invoice settlement.

Division resource management: Ordering supplies, coordinating space arrangements and providing logistical support for the integration of new employees (Onboarding).

Desired Candidate Profile

Education: Minimum Bac+3 in Management, Administration or Executive Assistance.

Experience: Proven experience (3-5 years) in an administrative coordination role, ideally in a demanding sector (FMCG, Pharma or Cosmetics).

Technical Skills:

Advanced mastery of the Office suite (Excel for sales tracking, PowerPoint for presentations).

Proficiency in SAP is a major asset.

Excellent communication skills in French.

Languages: Fluent French and Arabic. English is desirable for understanding the Group's processes and tools.
