YOUR ROLE
The Ocean Operations Administrator is responsible for managing import ocean freight operations.
WHAT YOU ARE GOING TO DO
Operations: Import File Processing
- Contact made with Ceva to organize the transport
- Pre-alert receipt (CFR or DDP)
- Opening of the import file
- Comparison of the data from the loading BL and that of the documents
- Load tracking with the shipping company
- Receipt of the arrival notice and invoice from the shipping company concerned
- Entering shipping data into the ERP software
- Sending the arrival notification to the customer
- Exchange with the shipping company (payment of the invoice and obtaining the bill of lading / BL)
- Delivery of the delivery note to the customer
- Sending all LINEA documents for customs clearance of the goods
- Sending delivery order
Service clients
Customer support upstream, downstream, and throughout all operations
- Maintaining effective communication with the client (information flow)
- Sending information related to time files
- Communication of situations/loading schedule
- Provide client liaison (telephone, email, meetings, etc.)
Coordination with the various stakeholders
- Communication with the various stakeholders (third parties)
- Intervention in the event of incidents and disputes and proposal of appropriate solutions
Managing customer feedback (complaints, suggestions, etc.)
- Receiving customer feedback (complaint, suggestion, etc.)
- Study and Analysis of Internal Customer Feedback
- Monitoring and communication of actions undertaken to the client.
Billing - Document verification and archiving
Billing
- Control and validation of the documents in the file
- Application of billing rates (Purchase-Sale)
- Entering invoices into the ERP software
- Issuing the invoice and verifying the attached documents
- Sending the invoice to the customer
- Receipt of acknowledgments
- Monitoring of outstanding customer balances
- Submitting a copy of the invoice to the accounting department
