The Administrative Assistant works in close coordination with the Academic Director and the Director of Studies.
As such, the recruited person will be responsible for the following functions and tasks:
For the Political Science Department:
- Manage ordinary emails and calls.
- Handle requests from the department head and teachers in relation to the college's logistics department
- Ensure the logistics of activities organized by the institution
- Issue purchase orders on SAGE, and follow up on their validation
- Follow up on signatures of ordinary documents.
- Ensure the transmission and follow-up of administrative information relating to the department head
- Assist in organizing meetings, pedagogical committees, and coordination councils (invitations, preparation of files, drafting of minutes)
- Ensure the logistics of the admissions competition and defenses
- Guarantee the organization and archiving of institutional documents
For the Director of Studies:
- Schedule courses on ADE/Agresso and issue timetables
- Integrate the necessary course settings
- Register students for various teaching activities
- Attend various class delegate meetings
- Distribute and manage timetables for teaching activities
- Organize exams and various assessments, collect grades, and issue report cards (exam scheduling, grade tracking, issuance of grade reports, certificates of success, and diplomas).
- Issue administrative documents requested by students (support certificate for an internship, certificate to facilitate field research...).
- Respond to student requests.
- Any other tasks that may be assigned.
Required profile :
- Bachelor's degree (Bac +3) to Master's degree (Bac +5), with a minimum of 2 years of experience in a similar role (in an educational setting).
- Good command of French, English, and Arabic.
- Good command of various computer and digital tools.
- Sense of organization and ability to follow ordinary management tasks.
- Ability to manage priorities and the various administrative responsibilities related to academic management.
- Good interpersonal skills and service orientation.
