Job :
Reporting directly to the Vice-President Executive (VPE), the Executive Assistant provides high-level strategic and operational support. He/She ensures the optimization of the Vice-President's time and the smooth flow of information within the various colleges and departments.
His/Her mission consists of anticipating logistical and decision-making needs, orchestrating relationships with stakeholders, and upholding the institution's standards of excellence and confidentiality in all interactions.
Main Missions:
Agenda Management and Logistics Engineering:
- Proactive schedule management: Prioritize requests and structure the agenda to ensure maximum efficiency of work and meeting times.
- Coordination of institutional relations: Organize interfaces with high-level contacts, both internally (Deans, Departments) and externally (Ministries, International Partners).
Information Management and Decision Support:
- Management of strategic flows: Arbitration and filtering of requests (calls, emails, letters) to optimize the VPE's availability.
- Document engineering & Business Briefing: Preparation of meeting minutes, strategic information notes, decision-making summaries, and institutional correspondence.
- Coordination of commitments: Operational management of the VPE's work methods and rigorous follow-up of the execution calendar for priority files.
Representation and Operational Excellence:
- High-level reception: Ensure the physical and telephone reception of VIP visitors in accordance with the university's codes and protocol.
- Inter-entity interface: Act as a privileged point of contact to facilitate information transfer between the VPE and other IUR entities.
- Event logistics: Coordinate governance meetings and specific events under the Vice-Presidency's supervision.
Required profile :
Education: Master's degree (Bac+5) in Management, Law, or International Communication.
Experience: 5 to 10 years of experience in senior executive assistance or consulting firms.
Technical Skills:
- Trilingualism: Perfect command of French, Arabic, and English.
- Writing expertise: High-level synthesis and writing skills in an institutional environment.
- Digital tools: Proficiency in Office 365 and collaborative tools.
- Complex logistics: Organization of international travel and VIP protocol management.
